Best Spreadsheet Software for Businesses

Microsoft Excel is our choice for the best spreadsheet software for businesses because of its versatility and functionality. Businesses need software they can rely on, and Excel fits the bill, helping you stay on track with simple or complex spreadsheets. There is an extensive range of formulas that you can use to make calculations or perform specific functions, and you can filter data according to your business needs.

This professional-grade software isn’t free, but it is available with a reasonable monthly subscription, and even after several decades, it’s still the most respected office spreadsheet solution. Best Spreadsheet Software for Students

Many of these spreadsheet programs would serve schools and students well. However, LibreOffice Calc stands out because it’s free and open source, so there are no licensing restrictions. For home users, Google Sheets is our first choice. Part of the Google Apps suite and connected to Google Drive, this spreadsheet software is versatile, free to use and user-friendly. You can easily create to-do lists, schedules and holiday shopping lists, then access them from any computer or mobile device with the Google Drive app. Because it has an array of formulas ready for use, along with a huge number of commonly used templates, this spreadsheet application makes it easy to keep track of home or business finances and to create budgets, calendars, planners, invoices and time sheets.

Compatibility

Compatibility with Microsoft Excel files is key for any spreadsheet software, simply because so many people use that program to create spreadsheets. Therefore, the spreadsheet software you choose should be able to read and write XLS and XLSX files and render them correctly. Choose software that allows you to easily convert your files into PDF format if you want to ensure your spreadsheets cannot be easily altered without leaving an electronic footprint. Creating PDF files also reduces file sizes and lets you easily add password protection. If you create spreadsheets that you want to publish online, choose a program that lets you easily convert spreadsheets into HTML.

Versatility

How versatile your spreadsheet software should be depends entirely on what you want to use it for. If you’re a student or a professional wanting to impress with your presentation or data collation, you need to be able to integrate graphics and alter the fonts, colors and other aesthetic qualities. If you want simple visual representations of your collected data, you need to be able to easily create charts from your entries.

Consider whether you need remote or mobile access to your spreadsheets. If so, you need an easily shareable or cloud-compatible application. For those who work collaboratively, it’s important to have spreadsheet software that allows simultaneous editing and multi-user functionality. If all you want to do is save, email and print spreadsheets, a desktop-only program will suffice.

Features

The best spreadsheet software programs have extensive formula selections that are easily accessible. Your software should also have a variety of templates on hand for common spreadsheets so you don’t have to lay out budget sheets, calendars and planners from scratch every time. If you’re sharing or collaborating with other people, make sure you can lock or freeze specific columns so others can’t accidentally edit or overwrite them.

Also note how many rows and columns a spreadsheet can accommodate. Some are unlimited, while others restrict you to just 250. If you deal with complex or large quantities of data, choosing a spreadsheet application that features pivot tables makes sense, as they provide an easy way of summarizing data.

Support

Whether you’re an advanced user or a novice, it's invaluable for your software to have a solid support system, including plenty of tutorials, step-by-step instructions and FAQs pages. Having email, phone and forum support at your disposal helps to ensure you don’t get stuck without a solution.

Firstly, don’t be afraid to create content in your templates for viewing and testing your styles. How else are you going to inspect your work? No matter how dialed in you think a style is, you really will not know until you see it in action. Simply erase all when you are done (and reset your counters – we’ll get to that later). Are you afraid of corruption (of your templates) using this approach? You’re not trying to model the utility infrastructure of Rhode Island! You’re creating simple content to test your styles. Are you worried about not being able to remove styles when you’ve used them? Civil 3D 2012 has a great tool for purging styles.

Style Naming Conventions and Abbreviations

Start by creating a list of style naming conventions and abbreviations. This list will provide guidance on naming the styles as you work your way down the list of Civil 3D styles. Here’s a sample of some common types of abbreviations you might need:

Do What You Do and Only What You Do

What kind of civil engineering and survey work do you do? Do not spend time on styles if you do not need them. Don’t even spend time on a style if you’re not sure that you need it. For example, if your last project that used superelevations was four years ago, don’t worry about the Superelevation View Styles, at least for now. You can always supplement your templates later.

ByLayer Styles

Civil 3D objects are similar to AutoCAD blocks with regard to layers. An object has an insertion layer, but it can also have nested, subcomponent layers via the style applied to the object. Further, if the subcomponent layer(s) are set to layer 0, the subcomponent will take on the properties of the insertion layer.

This is a very important concept to understand when setting up styles. For some objects, you may only be interested in the insertion layer. You may want all of the subcomponents to take on the properties of the insertion layer. Accordingly, all of the subcomponents should be placed on layer 0. This is a ByLayer style, and I use them extensively for styles that are not loaded with subcomponents (such as a Profile View Style).

Time to Start Plowing

Without going through every style category, I will try to provide an overview of how to address style creation and editing. Again, hopefully you are starting with pre-built templates. The first step is to, create content and ask yourself questions. Then you will build and edit styles based on the answers. Here’s an example:

Draw a line and label it with a bearing and distance. Does a bearing and distance label style exist? Is the label on the desired layer? Does the layer have the desired color or plot style? Do you need to label just bearing or distance? If so, create a style for just bearing and another for just distance. Do you want bearing and distance side by side? You get the idea. When you are done, you will hopefully have a nice set of line label styles:

Here’s another example: Create a surface. Are there surface styles that address the contour intervals that you desire? Is there a style that allows you to view the TIN? Is there a style for viewing the border only in case you just want the data? Do you need styles for existing vs. proposed? Are there styles that allow you to label the contours? Major and minor? Can you label slopes and spot elevations? Do subcomponent and insertion layers have the desired colors or plot styles? Plot the surface. How does it look? These are the types of questions that you’ll want to ask yourself as you plow through the style creation process:As you proceed down the Civil 3D ToolspaceSettings tab, identify the styles that you will most commonly use. In my experience, these generally are as follows:

  1. Line and Curve Label Styles
  2. Points (very basic styles)
  3. Surface
  4. Alignment
  5. Profile and Profile View

Work on these first. Of course for surveyors, the priorities will be different. And I have a future blog post as part of this series just for surveyors. Stay tuned.

Corridor object display includes the most complicated styles including Code Set, Link, and Shape Styles. These styles determine how the corridor will look in plan, 3d, and section.

Table Styles

There are over 20 different types of table styles in Civil 3D and they are all very similar. Except for the contents of the table, the style parameters are identical. So make global decisions on the text settings and subcomponent layers for the table styles:

Once you have decided on the text settings and subcomponent layers, you can use the Edit Table Styles command in CMI Tools to edit all the table styles in one shot.
